The manufacturers of NetDocuments are proud to announce the latest update and release of ndMail 1.8. We’d like to tell our clients and readers why this matters.

For those of you who aren’t acquainted with NetDocuments, here are some basics:

  • NetDocuments is a cloud-based, secure document management application.  It has won many awards and certifications and has established itself as the gold standard in document management.  Period.
  • It integrates with many third-party applications such as Clio, CosmoLex, DocsCorp, FileVine, SalesForce, Soluno, TABS3, TimeSolv, and others.  It was the first document management system to become a Microsoft Authorized Partner, which means it works from inside Office 365 applications, including Outlook.
  • NetDocuments works with Outlook 365, allowing users to save emails along with documents.  But they go beyond this functionality in offering ndMail, an add-on that uses artificial intelligence to boost NetDocuments capabilities as a matter-based intelligent email management application.

ndMail goes beyond what most document management systems can do with filing emails by automatically generating a list of predictive filing locations to save your emails. Each time a user files an email, ndMail analyzes its content, recipients, attachments, and so on, to predict a set of filing locations where others have previously filed other similar email messages at your organization or on your team, based on key criteria such as To, From, Cc, subject, contents, attachment names, and so on.

Emails can have security assigned to them – they can even be flagged as private, that is, accessible only to the one who filed it.  Once an email is filed, ndMail notes the key criteria involved so that when another email is filed with similar key criteria, it suggests where it ought to be filed based on probability.

Another useful feature with ndMail is that once an email is filed, it is flagged as such throughout the system. Thus, if another user was copied on the same email and tries to file it, it will be noted its already been filed. This is useful to prevent multiple copies of the same email being saved in the system.

For those users who work best with folders in Outlook, ndMail allows mapping Outlook folders to their filing counterparts in NetDocuments. Put an email in an Outlook folder and it will be filed in the correct location in NetDocuments.

Finally, ndMail goes a step beyond what most document management systems do in that it allows users to file emails on the go from any device, whether it is a smartphone, tablet or laptop. Users do not have to wait to get back to their workstations in order to file their emails. This is a game-changer!

Now, with the release of ndMail 1.8, users can take advantage of the following new features:

  • Performance improvements
  • New functionality with the File & Move command – previously ndMail had the option to move an email from the Sent Items folder to a new location once it was filed in the NetDocuments system.
  • Users also have the option to file an email but keep the email in the Sent Items folder and not move it to a new location.
