As 2024 winds to a close, we think it is important to advise our readers of upcoming changes to their end-of-year processes. Intuit Corporation, the maker of QuickBooks Online and QuickBooks Desktop, recently announced some changes for those clients using their payroll services.
Beginning this year, Intuit will no longer offer the option to print and mail W-2 tax forms as an included feature of their QuickBooks Online Payroll subscription. Instead, Intuit will levy an additional charge of $4.00 per employee to print and mail W-2 forms.
Please note: Intuit will continue to e-file on your behalf and send an electronic copy to employees as part of your subscription. There will be no extra charge for that service.
If you have the payroll service and do NOT want to pay the additional fee(s) —
- Be sure to change your W-2 settings on or before January 3, 2025
- Log into QuickBooks Online Payroll and choose Payroll Settings, then Form W-2 printing. If you select this option to change these settings, you will need to download, print, and mail W-2s yourself, or ask your employees to consent to paperless W-2s in QuickBooks Workforce.
If you have the payroll service and still want Intuit to produce and mail Form W-2s for your employees –
- Do nothing.
- If you have set up QuickBooks Payroll to automatically pay and file taxes, Intuit handles your W-2s by default. They will continue to print and mail your clients’ W-2s at the new price of $4 per employee.
